Role Overview:
The Executive Associate – High Performance plays a critical role in ensuring that high-performance operations function seamlessly with precision, speed, and accountability. This role demands a strong planner, doer, and go-getter who proactively anticipates needs, executes tasks with urgency, and ensures follow-through on critical action items. The individual must be highly organized, detail-oriented, and relentless in driving outcomes.
The role requires strong communication, data management, and stakeholder coordination skills, with an emphasis on overcommunication to ensure complete alignment across teams.
Key Responsibilities:
1. High-Impact Execution & Stakeholder Coordination
- Act as the right hand to the High-Performance Director, ensuring execution of strategic initiatives with urgency and efficiency.
- Proactively identify potential bottlenecks in execution and push for resolutions to keep projects on track.
- Ensure constant follow-ups, overcommunication, and seamless coordination between different stakeholders.
- Take ownership of projects from start to finish, ensuring tasks are completed on time without requiring repeated reminders.
2. Performance & Athlete Support
- Assist in tracking and evaluating athlete performance, training loads, and competition readiness.
- Ensure structured follow-ups on athlete assessments with the Sports Science, Coaching, and Medical teams.
- Implement Athlete Development Plans in collaboration with coaches and analysts, ensuring strict adherence to timelines.
- Maintain real-time records of athlete progress, injury management, and return-to-play protocols.
3. Data-Driven Decision Making & Reporting
- Utilize advanced Excel and data analytics to track key performance metrics and generate actionable insights.
- Prepare business-critical presentations for high-level strategy meetings.
- Work closely with data analysts to provide real-time performance intelligence that aids decision-making.
- Maintain a dashboard for high-performance activities, ensuring instant visibility into ongoing projects.
4. Operational Excellence & Administrative Oversight
- Oversee scheduling and logistics for training programs, camps, and competitions with zero margin for error.
- Maintain a real-time task tracker, ensuring nothing falls through the cracks.
- Manage calendar, meetings, and travel arrangements for the High-Performance Director and Leadership Team.
- Organize and prepare materials for meetings, including creating agendas, taking meeting minutes (MOMs), and ensuring immediate action on decisions.
- Ensure smooth inter-departmental coordination, including Coaching, Sports Science, Strength & Conditioning, and Nutrition.
5. Communication & Leadership Alignment
- Provide concise and proactive communication, ensuring stakeholders are never left guessing.
- Liaise with internal and external partners, ensuring relationships are well-managed and commitments are met.
- Serve as the main point of contact for high-performance-related queries and ensure quick turnarounds on requests.
- Ensure regular status updates to leadership, so they are always aware of critical developments.
6. Confidentiality & Discretion
- Handle sensitive information with the utmost confidentiality, integrity, and professionalism.
- Ensure all documents, reports, and communications are secure and appropriate for sharing.
Key Qualifications & Experience:
- Education: Bachelor’s or Master’s degree in Sports Management, Business Administration, or a related field.
- Experience: 2-5 years in a high-performance sports environment, preferably in an elite training center, national team setup, or professional sports organization.
Technical Skills:
- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word).
- Familiarity with performance monitoring tools, sports science concepts, and athlete load management.
- Strong analytical and problem-solving abilities.
Soft Skills:
- Obsessive attention to detail and execution.
- Strong sense of urgency, follow-through, and proactive problem-solving.
- Excellent communication (both written and verbal), ensuring clarity and alignment at all levels.
- Ability to multitask, prioritize, and manage time effectively in high-pressure environments.
- Proven track record of being a “doer” and driving projects to completion with minimal supervision.
Preferred Qualifications:
- Knowledge of Olympic or professional sports structures.
- Experience working with elite athletes, coaches, and sports science teams.
- Certifications in performance analysis, strength & conditioning, or sports science (desirable but not mandatory).
